Privacy Policy
Effective: October 2026
1. About this policy
This Privacy Policy explains how Hostly LLC (“Hostly,” “we,” “us”) collects, uses, shares and protects personal information. Hostly is a hospitality staffing company based in Coral Gables, Florida.
It applies to:
- Clients: people and businesses who request or book our services
- Website visitors: anyone who uses hostlyworld.com
- Applicants: people who apply to work with Hostly as independent hospitality professionals
- Professionals: independent contractors who accept engagements through Hostly
Business clients with a signed service agreement are also covered by that agreement. Our Client Terms & Conditions are at hostlyworld.com/terms.
2. Information we collect
We collect only what we need to book events, pay professionals and run our business.
Clients
- Name, email, phone, event address, date and times, guest count, staffing needs, uniform preference, notes you add, coupon codes, invoices and payment history. We collect these through our booking form, contact forms, email, text and phone.
- Card details for deposits and payments. You enter these directly with our payment processor. Hostly does not store full card numbers.
Website visitors
- Name and email if you sign up for offers through our pop-up.
- Basic technical data the site needs to work, such as browser type, through essential cookies.
Applicants
- Name, email, phone, city, state and ZIP code; whether you are 18 or older and authorized to work in the U.S.; roles, experience, languages, availability, transportation and referral source; your résumé and bartending license if you upload them. We collect these through our application form and an intro call.
Professionals
- Legal name, address, taxpayer ID (SSN or EIN) on Form W-9, and bank account for direct deposit. You enter these directly in Gusto, our payroll platform. Hostly does not ask for them on its website.
- Background check results, with your written consent, through Checkr via Gusto.
- Engagements accepted, hours worked, payments, client feedback, licenses and certifications, and photos and video from events or onboarding.
We do not collect sensitive data such as health information, and we do not ask applicants for immigration documents. Identity is verified during onboarding through Gusto and Checkr.
3. How we use information
- To provide our services: confirm bookings, match professionals to events, share event details, and coordinate on the day
- To bill and pay: collect deposits and invoices, pay professionals by direct deposit, and issue tax forms such as Form 1099
- To review applicants: assess experience and fit, schedule calls, and complete onboarding
- To communicate: answer questions and send booking confirmations, reminders and service updates by email or text
- To send offers: only if you sign up, for example the first-booking discount. You can unsubscribe at any time.
- To keep events safe and resolve issues: handle cancellations, damage claims, disputes and feedback
- To improve and protect our business: prevent fraud, and meet legal, tax and accounting obligations
We do not use your information for automated decisions that have legal effects on you.
4. How we share information
We do not sell, rent or share personal information for other companies’ marketing. We share it only in these cases:
- Between clients and professionals, as each event needs. Professionals receive the event address, timing, on-site contact and the details needed to work the event. Clients receive the first name of each assigned professional and, where relevant, their role and arrival details.
- With service providers who work on our behalf, under their own security and privacy obligations:
- Gusto (payroll, tax forms and contractor onboarding) and Checkr (background checks)
- Our card payment processors, such as Stripe (card payments)
- QuickBooks Online (invoicing and accounting)
- HubSpot (client relationship records)
- PandaDoc and Dropbox Sign (electronic signatures)
- Google Workspace, Microsoft 365 and WhatsApp (email, files, scheduling and messages)
- GoDaddy and our website tools (hosting and form submissions)
- With your consent, for example publishing a testimonial or event photo you approved.
- For legal reasons: to comply with law, a court order or a tax authority; to enforce our Terms or agreements; or to protect the safety of clients, professionals or the public.
- In a business transfer, if Hostly is merged or sold. The new owner would be bound by this policy.
5. Background checks, cookies, messages and photos
Background checks. We run a background check only after a professional gives written consent. Checkr, a consumer reporting agency, prepares the report through Gusto. You can request a copy of your report. If we decide not to engage you based on it, we will notify you first and give you a chance to respond, as the Fair Credit Reporting Act requires.
Cookies. Our website uses only the cookies it needs to work, such as remembering that you closed a pop-up. We do not use analytics, advertising or tracking cookies. You can block or delete cookies in your browser settings.
Emails and texts. We send booking confirmations, reminders and service messages by email and text. Offer emails go only to people who sign up, and every one has an unsubscribe link. We do not send marketing text messages. If you contact us on WhatsApp, we may reply there. Message and data rates may apply. Reply STOP to stop texts.
Photos and likeness.
- Clients: we photograph or record your event for our marketing only with your advance written consent, as our Terms state.
- Professionals: under the Independent Contractor Agreement, Hostly may use photos and video taken at events or onboarding on its website and social media. You can ask us to remove a specific image at any time.
- Testimonials: we publish a client’s or professional’s words only with their permission, and only as they said them.
6. Retention, security and your choices
How long we keep information
- Client booking, invoice and payment records: 5 years after your last booking, for accounting, tax and legal purposes, then deleted
- Professional tax, payment and engagement records: 5 years after your last engagement, for tax and legal purposes, then deleted
- Background check reports: 5 years after your last engagement, then deleted
- Applications from people we don’t engage: 2 years after you apply, then deleted
- Offer sign-ups (name and email): until you unsubscribe
Other information is deleted when we no longer need it, or sooner if you ask and the law allows.
Security. We use reasonable safeguards: access limited to people who need it, accounts protected by passwords, and sensitive data such as card numbers, bank accounts and taxpayer IDs kept with specialized providers rather than on our website. No system is perfectly secure. If a breach affects your personal information, we will notify you as Florida law requires.
Your choices and rights. You can ask us to:
- send you a copy of the personal information we hold about you
- correct information that is wrong
- delete your information, except records we must keep for the periods above
- stop sending you offer emails (or use the unsubscribe link)
Email services@hostlyworld.com and we will respond within 30 days. We may need to confirm your identity first.
Children. Our services and website are for adults. We do not knowingly collect information from anyone under 18. Professionals must be at least 18.
Changes. We may update this policy. The effective date at the top shows the latest version. We will notify active clients and professionals of material changes by email.
